Privacy Policy

Last updated October 14, 2026

This policy explains what information Estimator Studio collects, why, and what we do with it. It covers three groups of people: businesses and their team members who use Estimator Studio, their customers who use an estimator on a business's website, and visitors to estimatorstudio.com.

1. Businesses and team members

We collect what you give us to run your account: your name, email address, password (stored only as a secure hash) or your Google sign-in, your business name, website, country, time zone, trade, logo and settings, plus the estimators you build. If you subscribe, Stripe handles your card. We receive only the subscription status, plan, amount and dates, never your full card number. We keep a log of important account actions for security.

We use this to provide the service, bill you, send account and service emails (such as sign-in links, new-enquiry alerts and billing notices), keep the service secure, and improve it.

2. Customers of our businesses

When someone uses an estimator on a business's website:

  • Their answers and the estimate are calculated and shown to them.
  • If they send an enquiry or ask for a copy, we store the contact details they choose to give (such as name, email, phone, address, postal code, notes and a requested visit day), their answers and the estimate they saw, and pass them to that business. A copy of their estimate is available to them through a private link for 7 days.
  • Anonymous usage counts (for example "estimate started" or "question answered") are recorded without any contact details or answers, so the business can see how its estimator performs. These detailed records are kept for 13 months; after that only daily totals remain.
  • The estimator sets no cookies on the customer's device.

For this information, the business is in charge: it decides what to ask for and how to use it. Estimator Studio stores and processes it on the business's behalf and doesn't use it for anything else. We never sell it or use it to market to those customers. If you're a customer and want to see, correct or delete your details, contact the business you sent them to. We'll help them respond.

3. Visitors to estimatorstudio.com

Our website collects standard technical logs (such as IP address, browser and the pages requested) to keep it running and secure. We don't use advertising trackers or third-party analytics. Our fonts are served from our own servers, so visiting our site doesn't contact Google or other font services.

4. Who we share information with

We use a small number of service providers, only to run Estimator Studio:

ProviderWhat forWhere
Microsoft AzureHosting and databaseUnited States (US West)
StripeSubscription paymentsUnited States and other locations
Twilio SendGridSending emailUnited States
Google"Sign in with Google", only if you choose itUnited States and other locations
Other CloudLine productsYour CloudLine member code and subscription status, to apply member pricing across productsCanada / United States

We also share information if the law requires it, to protect people's safety, or as part of a sale or merger of the business (with this policy continuing to apply). A business can choose to send its enquiries to its own tools, such as a CRM through webhooks or Zapier. That sharing is the business's choice.

5. Where information is stored

Information is stored in the United States. That means it may be accessible to authorities there under US law.

6. How long we keep it

  • Account and estimator information: while the account is open, then as needed for legal and accounting reasons.
  • Enquiries: while the business's account is open, unless the business deletes them.
  • Detailed anonymous usage records: 13 months, then daily totals only.
  • Customer estimate-copy links: 7 days.

7. Security

We use encrypted connections, hashed passwords, encrypted stored secrets, separation between businesses' data, and limited access for our own staff. No system is perfectly secure; if a breach affects you, we'll tell you as the law requires.

8. Your rights

You can ask to see, correct or delete your personal information, or withdraw consent, by emailing mail@estimatorstudio.com. We'll respond within 30 days. In Canada you can also complain to the Office of the Privacy Commissioner of Canada.

9. Children

Estimator Studio is for businesses and isn't meant for children under 16.

10. Changes

We'll post changes here with a new date, and email account owners about significant ones.
